How can we help?

Answers to common questions about getting started, integrations, and managing your account.

Getting started

Authentic CRM is currently in early access. Join the waitlist from our homepage and we'll send you an access code when your spot opens up.

Once you receive an access code, visit the signup page and enter your name, organization name, email, password, and LinkedIn URL. You'll be guided through a short onboarding checklist to get set up.

Go to Settings > Team and click "Create invite." Enter your teammate's email and choose their role. They'll receive an invite link that's valid for 7 days.

We use it to pull in your profile photo and professional details so your account is set up faster.

AI suggestions & memory

No. Authentic follows a strict "suggest, don't automate" principle. The AI drafts messages, recommends timing, and proposes gifts or introductions — but nothing is ever sent without you reviewing and sending it yourself.

Suggestions are triggered by real signals: it's been too long since your last touch (based on each relationship type's cadence), a milestone like a new job or funding round was detected, a follow-up task is due, or two of your contacts could benefit from an introduction. Every suggestion shows its reasoning.

Yes. Each relationship type has a default cadence — for example, 60 days for current clients and 90 days for potential clients. Customize these (and add your own relationship types) in Settings > Relationships.

When you log touch notes, AI extracts the facts worth remembering — a promotion, a preference, a kid's graduation — and builds an evolving summary for each person. You can read everything it currently believes on the person's Notes panel. Touches marked private are never processed.

Edit the person's notes — memory is rebuilt from your notes nightly, so corrections flow through automatically. Outdated facts are also superseded on their own as situations change.

Dismissals are treated as signal. The system tracks what you dismiss and adjusts future suggestions to better match your style and preferences.

News detection

When News Detection is enabled, Authentic scans the web every 48 hours for news about your contacts and their companies — job changes, funding rounds, awards, publications. Hits become milestones with the source article linked, and surface in your dashboard queue with a suggested touch.

No, it's opt-in. Turn it on or off any time in Settings > Features. Source articles are verified for reachability and relevance before anything is saved, which filters out stale or misattributed news.

Delete the milestone and it's gone — no touch is suggested and nothing else is kept. Matching works best when contacts have a company association, since names alone are ambiguous.

Gmail

Go to Settings > Integrations and click "Connect Gmail." You'll authorize access through Google's standard OAuth flow. Once connected, you can send emails directly from any person's profile in Authentic.

Send emails from person profiles, track email opens (optional), and have emails automatically logged as touches in your CRM.

Email reading and inbox sync are not currently enabled. The Gmail integration is used for sending emails and tracking opens only.

Yes. Go to Settings > Integrations > Gmail and toggle off "Track email opens." You can also toggle off the "Sent with Authentic" footer.

During early access, Google's verification review of our app is still in progress, so you may see an "unverified app" screen during the connection flow. This is expected and doesn't change what the integration can access — sending email and tracking opens only. The warning will disappear once Google completes its review.

Google Calendar

After connecting Gmail, you can also connect Google Calendar from Settings > Integrations. This lets AI touch suggestions include your available meeting times.

Yes. Add your Calendly or Cal.com link in Settings > Integrations. It will be included in AI-generated touch suggestions when a meeting is recommended.

Slack

Go to Settings > Integrations and click "Connect Slack." Authorize the app in your workspace and choose which channel should receive notifications.

Daily follow-up digests with your top people needing attention, real-time website visitor alerts, and optional pipeline reports. Team members can also receive personal DMs with their own follow-ups.

Yes. You can choose which days to receive personal DMs, how many people to include, and configure pipeline report schedules separately.

Granola

Go to Settings > Integrations and click the Granola card. You'll be redirected to Granola's authorization page to grant access. You'll also need Google Calendar and Slack connected for the full flow.

Within 15 minutes of a calendar meeting ending, Authentic checks Granola for a matching transcript, summarizes it with AI, and sends you a Slack DM with the summary, key takeaways, and next steps.

Click "Add to CRM" in the Slack message. This creates a Touch (type: Meeting) with the AI summary as notes, stores the full transcript as a Document, and creates follow-up Tasks from the identified next steps.

Click "Dismiss" in the Slack message. The meeting won't be added to your CRM.

Only meetings where at least one attendee's email matches a person in your CRM. Internal-only meetings and meetings with people not in your CRM are skipped.

Chrome extension

Download the extension from Settings > Integrations, unzip it, then go to chrome://extensions, enable Developer Mode, and click "Load unpacked" to select the folder. Click the extension icon to connect it to your account.

When you visit a LinkedIn profile, it shows an "Add to Authentic" button. Click it to capture the person's name, company, headline, location, and photo directly into your CRM.

The extension checks automatically. If they already exist, it shows a "View in Authentic" button instead, linking you directly to their profile.

Connecting Claude

Yes. Authentic includes an MCP server, so you can connect Claude — on the web, desktop, or in Claude Code — and work with your CRM conversationally: "What does my pipeline look like?", "When did I last talk to anyone at Acme?", "Log a touch from today's coffee." Set it up in Settings > Claude.

Only if you allow it. Read-only access lets Claude look things up and summarize. Read & write access also lets it create contacts, log touches, and add tasks or opportunities — and writes are additive only; Claude never deletes anything.

Every action appears in the activity trail in Settings > Claude — what was done, by which connection, and when. Connections and API keys can be revoked at any time.

Sending gifts

Enable the Love Library in Settings > Love Library. Gift ideas surface on milestones like birthdays, weddings, and new babies, and in AI suggestions. Goody-backed items are sendable in a couple of clicks: pick the recipient, add a message, and pay. The gift is logged automatically as a touch on the person's timeline.

Per gift, at checkout, through Stripe. There's no gifting subscription — you pay for each gift when you send it.

No problem. If there's no address on file, the recipient receives a gift link by email and provides their own shipping address. You can also share the gift link yourself.

Website & lead capture

Install the tracking snippet from Settings > Website Visitors on your site, and Authentic identifies which companies and people are visiting through RB2B, a visitor-identification service. Identified visitors appear with name, title, company, and pages viewed — with a one-click "Add to CRM" button.

Yes. Settings > Tracking & Capture > Lead Forms gives you a webhook URL to point your form platform at. Submissions create a person in your CRM — optionally with a relationship type, an opportunity in the stage you choose, and a Slack notification.

No, deliberately. Authentic is built for genuine 1:1 outreach. If you run a newsletter, the Mailchimp integration (Settings > Features) keeps a Mailchimp audience in sync with the contacts you choose, with unsubscribes synced back automatically.

Your data

Yes. Go to Settings > Account and click "Export All Data." You'll receive a JSON file with all your people, companies, touches, tasks, milestones, opportunities, and more.

Yes. Go to Settings > Account and click "Delete Organization." This permanently deletes all data including people, touches, and team access. You'll need to type your organization name and enter your password to confirm.

No. We use Anthropic's Claude for AI features, and Anthropic does not use API inputs to train their models. Your notes and relationship context are processed for suggestions but never learned from.

Your data is stored on encrypted, SOC 2 Type II compliant infrastructure. All connections use TLS encryption and data is encrypted at rest. See our Trust & Security page for full details.

Account

Click "Forgot password?" on the login page. Enter your email and we'll send you a reset link.

Organization owners can change roles in Settings > Team. Click the role next to any team member to update it.

Organization owners can remove members from Settings > Team.
